Questions to Ask Before Hiring an Event Video Team
The right questions reveal the wrong vendors fast. Here's a complete vetting framework for corporate event media buyers.
Why Most Companies Hire Wrong — and How to Not Do That
The most common mistake companies make when hiring event videographers isn't choosing the cheapest option. It's failing to ask the right questions before they sign.
By the time the event is over and the footage is in hand, it's too late to renegotiate what you're getting. The contract was signed. The expectations were set. And now you're looking at a generic recap video that doesn't match your brand.
The questions you ask before hiring determine the results you get after the event.
Category 1: Deliverables and Scope
Start here. If a vendor can't clearly answer these questions, that's your answer.
- What is the complete list of deliverables included in this package?
- How many short-form social clips do we receive?
- Are the clips platform-optimized, or is one file used for everything?
- Is a raw footage archive included?
- What file formats are delivered and in what resolution?
- Are speaker captures and interview segments included or add-ons?
- Is licensed music included, or do we need to source it?
Category 2: Team and Production Capacity
- How many operators will be on-site on the day?
- How many cameras will you deploy?
- Who handles audio — do you carry professional audio equipment?
- Is the editor who delivers the final product in-house or outsourced?
- Who is my primary point of contact from briefing through delivery?
- Do you have experience with events of our size and type?
→A solo operator cannot capture speaker content, crowd moments, and b-roll simultaneously. Multi-camera crews are non-negotiable for complex events.
Category 3: Turnaround and Timeline
- What is your standard delivery timeline for social clips after the event?
- What is your standard delivery timeline for the full recap video?
- Do you offer rush delivery, and what does that cost?
- Can we receive social-ready cuts within 24–72 hours of the event?
- What happens if we have a revision request — what is your revision policy?
Speed matters. Content distributed within the first week of an event captures the audience's energy and attention. Waiting three weeks to post kills your momentum.
Category 4: Brand Alignment
- Will you review our brand guidelines before the event?
- Can you incorporate our brand colors, logo, and fonts into the final edits?
- Have you worked with companies in our industry before?
- Can you share examples of work that feels similar to our brand?
- Do you adapt your editing style, or do all your videos look the same?
Category 5: Strategy and Planning
- Do you conduct a pre-event briefing call?
- Do you develop a shot list before the day?
- How do you handle event schedule changes or logistical surprises?
- Have you worked in this venue or similar venues before?
- What's your process for capturing planned moments like keynote speakers or award ceremonies?
- Do you coordinate with the event planner or AV team in advance?
A strategic event media team treats the day like a production — with a shot plan, a crew briefing, and a clear understanding of what moments matter most.
A less experienced vendor just shows up with a camera and hopes for the best.
Category 6: References and Portfolio
- Can you share three examples of work from similar corporate events?
- Do you have client references we can speak with?
- Have you worked with companies of our size before?
- Can you show us an example of short-form content you've produced from events?
- Do you have examples of how clients have used your event content for marketing?
The One Question That Separates Great Vendors From Good Ones
After all the logistics questions, ask this:
"Walk me through what our marketing team will have 30 days after this event."
A great event media vendor will light up answering this question. They'll describe the recap video, the social clips, the b-roll library, the interview segments. They'll tell you exactly how each piece of content can be deployed.
A vendor who only thinks about filming will give you a vague answer. That vagueness shows up in the deliverables.
